Artwork intake is concerned with receiving files and classifying them correctly, not reviewing, fixing or approving them.
All files are attached at the job item level.
Conceptually: Job → Job Item → Files
Files in Artworker are categorised to define how they are used and where they appear in the system.
File type | Description |
Artwork | Production artwork files supplied for a job item and used for prepress, proofing and approval |
Proofs | Files generated or supplied for review and sign-off, separate from production artwork |
Assets | Reusable or supporting files associated with a job item but not tied to a single artwork version |
Archived | Files that are no longer active but are retained for reference and history. |
Each file uploaded during artwork intake is assigned to one of these types.
Classification guidance
Files intended to be printed should be uploaded as Job Artwork
Files used for review or approval are Proofs
Files kept for reference only are Archived files
Shared or supporting files are Assets
Files are classified at upload and may be reclassified later if their role changes.
All files are associated with job items, not jobs.
This means:
Each job item maintains its own set of files
Different job items within the same job can have different file sets
File readiness and lifecycle are tracked independently per job item
This structure supports multi-product orders with different artwork requirements.
Files can enter the system in several ways:
Direct upload by teamates: Files uploaded by internal users directly to a job item.
Customer uploads: Files uploaded by customers using a dedicated upload page linked to a job item.
Programmatic intake: Files added automatically via API or integrations and associated with the correct job item.
Regardless of intake method, files are categorised and linked consistently.
When a job item is created:
No files are attached
The job item remains in the Awaiting artwork stage
Once Job Artwork is received, the job item can progress through its lifecycle.
A job item can contain multiple files across different types.
Job Artwork may be replaced or supplemented over time
Proofs and Archived files accumulate as part of the workflow
Assets remain available as supporting resources
All files are retained to provide traceability and context as artwork evolves.
